Pipedrive is excellent at one thing and teams stretch it to do five. By the time you are migrating there are pipelines standing in for lifecycle stages, custom fields standing in for objects, and a spreadsheet standing in for reporting. Carrying that across intact just moves the problem to a more expensive system.

Pipelines that are not pipelines

Most Pipedrive accounts have pipelines doing the work of lifecycle stages, deal types or team ownership. Moving them one to one gives you a HubSpot portal with nine pipelines and no forecast. We re-model them before anything moves.

Field scope changes meaning

Pipedrive scopes custom fields to person, organisation or deal. HubSpot scopes to contact, company, deal and ticket, and the boundaries do not line up. Fields land on the wrong object by default and every report built on them is quietly wrong.

Leads are a separate inbox

The Pipedrive Leads Inbox is not a deal and not quite a contact. It maps to HubSpot lifecycle stages, but only after somebody decides what a lead means in your business — which is a definition question, not a mapping question.

Products and recurring revenue

Products, variations and recurring revenue in Pipedrive map to HubSpot line items and, if you bill on subscription, to a quote and commerce model that has to be designed rather than imported.

Activities lose their type

Custom activity types are one of the first things teams build in Pipedrive and one of the first things lost in a naive import. They become HubSpot engagement types and meeting outcomes, mapped explicitly.

Email sync history

Pipedrive stores synced mail against records. Whether that history carries, and how far back, is a decision with privacy implications as well as technical ones — especially for European contacts.

Where it usually goes wrong

The transfer tool is not the project.

HubSpot Smart Transfer handles Pipedrive natively and does the moving well. It cannot tell you that your Won stage has been meaning two different things since 2023, or that half your custom fields are empty. A migration that only runs the tool arrives with the same reporting problem in a new interface.

Why pay for help if HubSpot migrates Pipedrive for free?

Because the moving is not the expensive part. The native tool copies your structure faithfully, including the parts that were compromises. What you are paying for is the re-model, the automation rebuild and someone who has seen what happens six months later.

How long does it take?

Three to six weeks for most Pipedrive accounts. The record volumes are rarely the constraint; the time goes into deciding the deal model and rebuilding the automation that lived outside Pipedrive in Zapier or a spreadsheet.

Will our deal history and won revenue carry across?

Yes, including closed deals, dates and values, so your historical win rate and cycle time survive the move. This matters more than people expect at the first quarterly review after cutover.

What about our Zapier automations?

They get inventoried early, because they are usually holding the business together and nobody has a list. Most get rebuilt as native HubSpot workflows, which is cheaper to run and easier to debug. The rest we rebuild in Zapier, Make or n8n against the new object IDs.

Can we keep our pipeline stages exactly as they are?

You can, and sometimes that is right. But we will tell you when a stage is not a stage. The point of the exercise is a forecast you trust, and that usually means fewer stages than you have now.
