Zoho to HubSpot migration.
Twelve Zoho apps, one record. Nobody runs only Zoho CRM. There is Desk, Campaigns, Books, Forms, Sign and usually a custom Creator app, each holding part of the customer. The migration is about deciding which of them HubSpot replaces and which it integrates with.
The suite was the selling point. Now it is the problem.
Zoho wins deals by bundling. Years later the customer record is split across six apps that sync through Zoho Flow, and answering a question about a single account means opening four tabs. Migrating one app at a time reproduces the split in a new system.
Six apps, four tabs, one customer.
Zoho — the split recordWhere the suite stops being an advantage.
Custom modules become custom objects
Zoho custom modules map to HubSpot custom objects, but HubSpot charges for them by tier and models associations differently. Sometimes the honest answer is that a module should have been a pipeline all along.
Blueprint is process enforcement
Blueprint enforces stage transitions with conditions and mandatory fields. HubSpot has no direct equivalent, so that logic becomes a mix of required properties, workflow and stage gating — and some of it becomes a convention people have to follow.
Layout rules and multiple layouts
Page layouts, layout rules and validation rules per profile shape what users can enter. HubSpot approaches this through property conditional logic and permissions, which is simpler and less granular.
Zoho Desk tickets
Tickets, departments, SLAs and the help centre either migrate into Service Hub or stay. That decision changes the licence tier you need and should be made before, not during.
Zoho Books and the finance boundary
Invoices, estimates and payments in Books are usually staying. The question is what HubSpot needs to see of them, and that becomes an accounting integration rather than a migration.
Zoho Flow and Deluge scripts
Custom Deluge functions and Zoho Flow automations carry business logic nobody documented. They get read and inventoried, because a migration that misses them removes rules the business depends on.
The sequence, start to cutover.
Discovery
Object counts, custom fields, automation and the integrations that will break on the way out, read from the source system rather than from a questionnaire.
Mapping
Field by field, including what will not carry across, agreed and signed before anyone exports anything.
Dry run
A complete rehearsal into a sandbox portal, reconciled against source counts so the gaps surface a month early rather than on cutover night.
Automation rebuild
Workflows, sequences and routing rebuilt to the new model rather than transliterated from the old one, which is how a migration inherits a decade of workarounds nobody remembers writing.
Cutover
A dated switch with the legacy system read-only for a defined window, and a rollback that was tested rather than assumed.
Post-migration support
A named engineer through the first full reporting cycle, which is when the questions actually arrive.
Half the suite moves. Half stays.
The realistic outcome is rarely a clean sweep. CRM and Campaigns move, Books stays, Desk goes either way. That is fine, but only if the boundaries are drawn on purpose. A migration that leaves three apps behind without a defined integration produces exactly the split record you were trying to escape.
What people ask before they commit.
Does HubSpot migrate Zoho automatically?
HubSpot Smart Transfer supports Zoho CRM for the standard objects, which covers contacts, companies and deals well. It does not cover custom modules, Blueprint, Desk or anything in the rest of the suite, and that is usually where the work is.
How long does a Zoho to HubSpot migration take?
Four to ten weeks, driven by how many Zoho apps are in play and how much Deluge scripting exists. A CRM-only move is at the short end.
What happens to Zoho Desk tickets?
They can migrate into HubSpot Service Hub with the conversation history attached to the same contact as the deals, which is the main argument for doing it. If Desk stays, we build the integration so support and sales at least see each other.
Will it cost more to run HubSpot than Zoho?
Usually yes on licence, and often less overall once you count the time spent maintaining the connections between Zoho apps and the reporting work that currently happens in spreadsheets. We will give you the honest comparison in discovery rather than after signature.
Can we migrate in phases?
Yes, and for a multi-app Zoho estate it is usually the right call. CRM first, then marketing, then service, with a defined integration holding the boundary while both systems are live.
