Integration

HubSpot Jira, Asana and ClickUp integration.

Deal to project without re-typing. Sales closes it in HubSpot. Delivery runs it in Jira, Asana, ClickUp or Notion. Between the two sits a person copying scope into a project template and an account manager who cannot answer how delivery is going without asking.

The problem

Sold in one system. Delivered in another.

The scope that was sold and the scope being delivered drift apart from the first week. Margin is discovered at the end of the project rather than managed during it, and the renewal conversation starts with a customer who knows more about delivery than you do.

Sold one thing. Delivering another.

What we get right

Making the handoff structural.

Closed-won creates the project

The project, its tasks and its structure created from the deal and its line items, so the scope that was sold is literally the scope that gets delivered.

Status back where sales can see it

Phase, health and milestone dates on the company record. Account managers stop interrupting delivery to ask, and delivery stops being interrupted.

Time against the sold scope

Hours logged in the delivery tool compared to the hours in the quote, so margin is readable at week three rather than at invoice.

Change requests as deals

Scope changes become their own deal and their own approval, which is the single most reliable way for a services business to stop giving work away.

Support escalation joins up

A Jira bug raised from a HubSpot ticket, with status flowing back, so support can answer the customer without opening the engineering board.

One direction per field

Delivery owns delivery state, the CRM owns commercial state. Two-way sync on the same field across two tools with different vocabularies never ends well.

How it runs

Built to a contract, not to a connector.

01

Draw the boundary

Which system owns which field, in writing, before a line of code. Most broken integrations are two systems both believing they are the source of truth.

02

Model the join

The key that matches a record on one side to a record on the other, and the rule for what happens when it does not match — because it will not match.

03

Build and instrument

Sync built with retries, idempotency and a dead letter path, plus logging you can read without opening a console.

04

Reconcile

Counts compared on both sides on a schedule, with a report that names the drift rather than a green tick that hides it.

05

Hand over

A runbook covering the three failures that actually happen, so the next person does not have to reverse-engineer the design from the logs.

Where it usually goes wrong

Delivery gets asked to work in the CRM.

Integrations fail when they require engineers to update fields for the benefit of a report they never read. Everything must be a by-product of work they were doing anyway. If the integration adds a step to a delivery person day, it will stop being accurate within a month.

Frequently asked

What people ask before they commit.

Should delivery move into HubSpot?

Usually not. Jira, Asana and ClickUp are better at delivery than HubSpot is. The goal is a clean boundary with a good handoff, not consolidation for its own sake.

Can a closed deal create a Jira project automatically?

Yes, including the epic structure and tasks derived from the line items. Most teams want a short approval step first so a project is not created for a deal that closed by accident.

How do we track profitability per project?

Logged time against the quoted amount, surfaced on the deal and the company. It requires that time actually gets logged, which is a process problem the integration cannot solve for you.

Does this work with Notion?

Yes, through the Notion API, though Notion is a weaker fit for structured delivery tracking. Where teams run their process in Notion we tend to keep the sync narrow and specific.

How long does it take?

Two to six weeks. Project template complexity is the main variable, not the tool.

What the system does today, where it breaks, and when it has to work. An engineer reads it — you get an answer inside one business day, not a sequence.
