The database leaves with the agent.

A brokerage's product is its agents, and an agent's product is a list of people they have known for fifteen years. When one of them moves down the street, the pipeline, the past clients and the referral network go with them — because none of it was ever the brokerage's to keep. Two businesses run here, recruiting and conversion, and both resolve to the same record.

The problem

Five minutes, and then it is somebody else's.

A portal lead lands at nine at night. The agent it routed to is asleep, the backup rule was never configured, and by breakfast the buyer has spoken to two other agents. None of that was recorded, so the monthly review argues about lead quality — which nobody controls — instead of about response time, which is the only variable that was ever in your hands.

Recruiting is the growth plan.

What we build

Both businesses on one system.

Leads routed on a clock

Zillow, Realtor.com, portal and site leads distributed by rule with a response timer, an escalation and a named backup — so a lead nobody touched in ten minutes moves rather than ages. Speed to first contact is then reportable per agent and per source, which ends the argument.

Agent recruiting as a pipeline

Recruiting conversations modelled like deals: production volume, cap status, anniversary date, the stated objection and the next touch. The two-year courtship of a top producer stops living in a managing broker's memory and starts being a forecast.

The brokerage keeps the record

Past clients, referral sources and transaction history held at brokerage level with agent-level visibility, decided field by field. A departure then costs you a producer rather than a producer and everyone they have ever sold a house to.

Transactions past the contract

Under contract, inspection, appraisal, financing, clear to close, funded — read from Dotloop, SkySlope or Lone Wolf onto the deal, so a file that has stalled is visible while there is still time to save the closing date.

Sphere and repeat, worked on purpose

Anniversary, valuation and life-event campaigns that run per agent under the brokerage's brand, with consent held per contact. The repeat and referral business every agent says is most of their income becomes something the brokerage can actually operate.

Splits and production, readable

Commission plan, cap progress, gross commission income and production by source on the agent record — the numbers a recruiting conversation turns on, available before the conversation rather than assembled after it.

How it runs

Routing first, because it pays first.

01

Sit in the lead flow

A week of leads watched from arrival to first contact, at the hours they actually arrive. Which sources convert, which agents answer, and how much of the spend dies in the first ten minutes.

02

Decide who owns the contact

Brokerage or agent, field by field, written down and agreed. This is a policy decision before it is a system one, and it is the decision that determines whether any of this survives a departure.

03

Build routing, then transactions

Routing, timers and escalation first, because they return money inside a month. Transaction visibility and past-client programmes second, once the team already trusts the system.

04

Train the team leads

Managing brokers and team leads run the boards, coach from them and defend them. Agents adopt what their team lead uses, never what a memo announces.

Where it usually breaks

Every team arrived with its own CRM.

A brokerage grows by absorbing teams, and each one brings kvCORE, Follow Up Boss or BoomTown already paid for and already loved. Nobody wants that fight during recruitment, so the brokerage ends up running six databases and reporting on none of them. The workable answer is rarely one tool for everybody — it is one written contract about which system holds the client of record and which fields reach the brokerage, agreed when the team joins rather than when it leaves.
